Introduction

The holidays featured on our website are operated by Royal Safari Collection Ltd. (hereinafter called "RSC", "we" or "us"), registered in England under company number 8024244. Your booking to Africa is with Royal Safari Collection Ltd.

Your Booking with RSC

A booking with RSC will exist as soon as we issue our ‘Confirmation Invoice & Itinerary’. This will be issued after receiving your deposit and confirming every element of your trip to Africa. Your booking is made on the terms of these booking conditions. In agreeing to them, you guarantee that you have the authority to accept and do accept on behalf of your party (named on the booking form) the terms of these booking conditions.

Paying for Your Trip to Africa

  • Deposit: When you make your booking, you must pay a deposit of 30% of the booking cost, or full payment if your departure is within 90 days. Some bookings may require additional upfront payments (e.g., for international flights, gorilla permits, or peak holiday periods). If additional deposits are required, you will be informed prior to booking your trip with us.
  • Balance Payment: The remaining balance of the booking cost must be paid at least 90 days before your departure date. If the deposit and/or balance is not paid on time, we have the right to cancel your travel arrangements and retain your deposit.
  • Currency and Exchange Rates: Our suppliers in Africa have rates in various currencies. We will quote you a trip in GBP or USD, and any quote you receive from us will be valid for 7 days. After this, we reserve the right to recalculate the cost based on updated exchange rates. Once you decide to go ahead with your trip, the currency is fixed.

If You Cancel Your Trip to Africa

You, or any member of your party, may cancel your travel arrangements at any time. Written notification from the person who made the booking must be received by email at reservations@royalsafaricollection.com. Cancellation charges will apply as follows:

  • More than 84 days: Deposit only
  • 70 to 84 days: 35% of booking cost
  • 56 to 69 days: 50% of booking cost
  • 29 to 55 days: 75% of booking cost
  • Less than 28 days: 100% of booking cost

Note: Some camps have high cancellation charges during peak periods such as Christmas. If this affects your booking, we will inform you in writing before you pay your deposit.

If You Change Your Booking

If, after our confirmation invoice has been issued, you wish to change your travel arrangements in any way (e.g., departure date or accommodation), we will do our utmost to make these changes, but it may not always be possible. Requests for changes must be in writing from the person who made the booking. An administration charge of £100, plus any further costs incurred, will apply. Changes within 90 days of departure will be subject to cancellation charges.

You can transfer your booking to another person who satisfies all booking conditions by giving us notice in writing at least 7 days before departure. Both you and the new traveller are responsible for paying all costs incurred in making the transfer.

If We Cancel Your Booking

We reserve the right to cancel all or part of your booking if unforeseeable circumstances force us to do so. We will not cancel less than 90 days before your departure date, except for unavoidable and extraordinary circumstances or failure by you to pay the final balance. Unavoidable and extraordinary circumstances include but are not limited to war, riot, civil strife, industrial dispute, terrorist activity, epidemic or pandemic, natural or nuclear disaster, fire, adverse weather conditions or unavoidable technical problems with transport. We follow advice provided by the UK Foreign & Commonwealth Office.

Additional Assistance

If you encounter difficulties while in Africa and request our help, we will provide necessary assistance, including information on health services, local authorities, and consular assistance. Costs incurred must be paid by you, or claimed back from your travel insurance company.

Medical Conditions, Disabilities and Other Special Requests

We welcome customers with special needs but require advance notice to assess suitability. Requests for special requirements (e.g., food intolerances) will be passed to suppliers but are not guaranteed.

Excursions

Excursions or tours booked separately are not part of our trip. Your contract will be with the operator of the excursion or tour.

Documentation

Check all documentation upon receipt and notify us immediately of any errors. Failure to report errors may result in additional costs for changes, especially to flight tickets.

Your Responsibilities

Review current travel advice at www.gov.uk/foreign-travel-advice before booking and remain updated. Ensure passport, visa, and health requirements are met.

Insurance

Travel insurance is mandatory. Failure to purchase adequate insurance may result in cancellation of your holiday.

Law and Jurisdiction

This booking is governed by English Law, and the jurisdiction of the English Courts. Residents of Scotland or Northern Ireland may opt for local law and jurisdiction.
